How to take better meeting notes

October 20, 2026

Most meeting notes fail for one reason: they try to record everything. A useful note answers three questions. What was decided, who does what, and by when.

Start with the goal. Before the meeting, write one line about what you need to leave with. It keeps you listening for the parts that matter instead of typing every sentence.

Capture decisions in the moment and tasks with a name next to them. A task without an owner is a wish. Reading the list back at the end of the call takes thirty seconds and prevents most follow-up questions.

Record the conversation so you can stay present. When the audio is transcribed, you can search for the exact sentence later instead of guessing what someone said. A short summary on top gives you the shape of the meeting in a minute.

Send the notes the same day. The value of a note drops fast, and a quick message with decisions and owners keeps everyone aligned across time zones.
